Executive Assistant, Country Programs in Mastercard Foundation

 JOB DESCRIPTION – EXECUTIVE ASSISTANT

End Date: August 10, 2025

Reporting to the Country Director, the Executive Assistant will provide executive support to the Country Director to support the Country’s contribution to achieving the Foundation’s strategy and goals. She will provide administrative support to the Director and build collaborative relationships with other functions and internal and external stakeholders.



WAYS YOU CAN CONTRIBUTE

  • Manage scheduling for the Country Director, including calendar meeting requests.
  • Lead scheduling for all regional activities in line with work plans.
  • Coordinate and ensure schedules are followed and respected, and act as a ‘gatekeeper’ while providing access to the Programs leadership team.
  • Schedule meetings and coordinate related logistics, such as room bookings, refreshments, and document preparation for all attendees.
  • Manage agenda, take minutes at meetings and distribute as appropriate.
  • Lead the follow-up of key action items for the Country programs, ensuring that the Country Director is prepared for meetings and correspondence, and that work runs smoothly.
  • Manage travel in coordination with the travel team, office coordinator, and team assistants, including extensive global travel, accommodation reservations, ground transport, travel visas, and immunizations.
  • Prepare and submit expense reports accurately and efficiently in line with organizational policies.
  • Compose routine correspondence with the ability to identify the need for writing proactively.
  • Liaise with the Public Affairs & Communications team and colleagues regarding Country communications.
  • Handle the distribution of correspondence. Monitor email and act as appropriate. Ensure attention to accuracy and detail.
  • Plan, organize and maintain accurate documentation for the function, including reports.
  • Maintain organization of the database, shared network drives and SharePoint sites.
  • Build, liaise and sustain relationships with employees, external stakeholders and the general public on behalf of the Director’s Office.
  • Provide support in budget preparation and forecasting. Supporting Financial management processes in line with policies and processes.
  • Provide backup to other executive administrators.

WHO YOU ARE

  • A College Diploma or University degree in any related field
  • Minimum 3 - 5 years of experience in an Administrative Assistant role in a fast-paced environment. Local experience preferred.
  • Experience in an Executive Assistant role in a fast-paced environment. Local experience preferred.
  • Understanding and some level of experience in program work is preferred
  • Excellent prioritization and time management skills.
  • Excellent planning and logistical skills
  • Excellent interpersonal skills, exhibiting grace under pressure.
  • Excellent English, written and spoken communication skills, and ability to communicate in Kiswahili.
  • Proficient in MS Office applications (PowerPoint, Word, Excel, Office 365 and
  • SharePoint).
  • Detail-oriented with a demonstrated ability to consistently and effectively produce high-quality work
  • Able to work independently with little direction or supervision and possess the ability to coordinate and manage multiple projects.
  • Well-established networks of service contractors, relevant stakeholders and partner organizations
  • Flexible, adaptable, and able to execute a range of job duties and changing priorities
  • Possess excellent verbal, written, and presentation skills with the ability to articulate information to a variety of constituents across cultures.
  • Possess professional maturity, sensitivity with different cultures, and impeccable integrity
